The Finance Operations Analyst owns the systems and processes that keep our finance function running. This is a hands-on role reporting to the Director of Finance, well suited to someone who enjoys untangling a manual process and replacing it with one that runs reliably. Our finance stack is made up of several connected best-in-class platforms rather than a single ERP, so much of the work involves configuring and maintaining the tools we already have, understanding how data moves between them, and finding the places where automation can take manual effort off the table. You are responsible for the recurring machinery of the function: the processes supporting our monthly close, accounts payable and accounts receivable, and data integrity across systems (including regular reconciliation and reporting). Finance is a small, high-leverage team, which means real ownership and broad exposure to how the business works. As you take on more of the systems and processes, there's room to grow into greater ownership of the close and the reporting cycle.
Responsibilities
- Run the recurring processes supporting our monthly close, coordinating with our external accounting partners and outsourced AP and bookkeeping provider
- Administer our core finance platforms (QuickBooks Online, Ramp, Cube) and their associated automations and workflows, keeping them configured, current, and running cleanly
- Reconcile the data we share with other teams - revenue, COGS, others as needed - so reported figures tie back to source systems, catching coding and classification errors before they reach a report
- Own invoicing, AR aging, and collections
- Oversee accounts payable - manage the FinOptimal relationship, clear the exceptions that reach the AP@ inbox, and keep vendors current
- Keep data clean as it moves between platforms, catching coding and classification errors before they reach a report
- Identify recurring manual work and automate it, favoring the tools we already own over anything custom
- Build and maintain the SOPs and process maps that keep our systems from living in one person's head
Requirements
- 3-5 years of experience in accounting, financial analysis, finance operations, or financial systems; we weigh aptitude as heavily as time in seat
- Working-level accounting fluency - you can read a P&L and balance sheet, you're comfortable with the mechanics of accrual accounting (deferrals, prepaids, accruals, etc), and you notice when a number looks wrong; no CPA required
- Enough conceptual grounding in how systems connect - APIs, integrations, data flows, mappings - to work a problem without needing an engineer
- Working familiarity with LLM tools like ChatGPT, Claude, or Copilot, and judgment about where they help and where they don't
- Strong Excel or Google Sheets skills, and the judgment to build something maintainable rather than clever and fragile
- A proactive, self-directed working style - given a goal and system access, you find the path
- Genuine curiosity about why a process works the way it does; we weigh this as heavily as a technical skill
- Clear communication, including explaining a system or a variance to someone who doesn't work in finance
- QuickBooks Online experience, and hands-on work with a spend management platform (Ramp, Bill.com, Rippling) or an FP&A tool (Cube, Datarails, Planful), is a plus
