About The Role
We are seeking a highly experienced Payroll Specialist to join our dynamic team at Vaco LLC. In this pivotal role, you will be responsible for managing end-to-end payroll processes across multiple jurisdictions, ensuring accuracy, compliance, and timeliness. The successful candidate will process bi-weekly and semi-monthly payrolls using UKG, handle complex payroll transactions, and support year-end activities and statutory filings. Your expertise will be vital in maintaining payroll integrity, supporting system enhancements, and ensuring adherence to Canadian payroll legislation, including provincial and federal requirements. Additionally, you will serve as a key resource during audits and contribute to continuous process improvements, supporting the organization’s growth and transformation initiatives.
Qualifications
The ideal candidate will possess a secondary school diploma, with post-secondary education in Payroll, Accounting, Business Administration, or related fields preferred. A minimum of five years of progressive Canadian payroll experience within a complex, multi-jurisdictional environment is required. Strong knowledge of Canadian payroll legislation, taxation, and compliance requirements across all provinces and territories, including Quebec, is essential. Experience with UKG and ADP payroll systems is highly advantageous, alongside a demonstrated interest in payroll system projects and transformations. Proficiency in Microsoft Excel, especially in data analysis, reconciliation, and reporting, is necessary. Certification such as the Payroll Compliance Professional (PCP) or Payroll Leadership Professional (PLP) from the National Payroll Institute (NPI) is strongly preferred. Candidates must demonstrate excellent organizational skills, meticulous attention to detail, and the ability to manage multiple priorities effectively. A strong understanding of payroll controls, statutory requirements, and compliance practices is crucial for success in this role.
Responsibilities
The Payroll Specialist will undertake a comprehensive range of responsibilities, including processing bi-weekly and semi-monthly payrolls via UKG, ensuring accurate setup, data loading, auditing, and finalization of payroll cycles. You will manage regular and off-cycle payments such as bonuses, retroactive adjustments, and corrections, validating all payroll inputs related to employee changes, benefit deductions, garnishments, and taxable benefits. Conducting detailed payroll audits, reconciliations, and validation checks will be part of your routine to guarantee compliance and accuracy. You will coordinate payroll funding with banking partners and review payrolls before approval to ensure completeness. Supporting year-end activities, including statutory filings such as T4s, RL-1s, and other government reports, will be a key aspect of your role. Additionally, you will oversee the preparation of payroll reports for internal stakeholders and audits, perform system maintenance updates, and support legislative compliance across all Canadian jurisdictions, including Quebec. Your duties will also include managing employee payroll records, supporting system upgrades, and facilitating payroll system testing and enhancements. You will administer internal bonus and incentive programs, prepare Records of Employment (ROEs), and serve as the primary contact for government audits and inquiries. Supporting onboarding processes for acquisitions, assisting with payroll transformation projects, and maintaining confidentiality of employee data are integral parts of your responsibilities. Your proactive approach will help identify opportunities for process improvements, ensuring payroll operations scale efficiently with organizational growth.
Benefits
Vaco LLC offers a competitive salary range of $70,000 to $90,000 annually, commensurate with experience and qualifications.
