- Position Summary
- The Data & Systems Manager is a part-time independent contractor role responsible for designing, maintaining, and optimizing the organization's technology ecosystem. This role oversees the collection, organization, security, and analysis of organizational data while ensuring that all digital systems function efficiently and reliably.
Working closely with leadership and program staff, the Data & Systems Manager transforms ideas into functional systems by developing forms, automations, workflows, and reporting tools that support organizational operations. This position requires a combination of technical expertise, analytical thinking, project management, and creative problem-solving.
The Data & Systems Manager serves as the organization's primary systems architect, maintaining administrative access across critical platforms and ensuring that technology supports the organization's mission while protecting user privacy and data integrity.
- Essential Responsibilities
- Systems Administration
- · Administer and maintain organizational software platforms, including Airtable, Fillout, Google Workspace, Squarespace, and other operational systems.
- · Configure user permissions and manage system access across platforms.
- · Maintain system integrity, security, and operational reliability.
- · Evaluate, implement, and optimize new technology solutions.
- Data Management & Analysis
- · Design and maintain databases and data collection systems.
- · Ensure accurate and secure transfer of information between multiple platforms.
- · Monitor data quality and integrity.
- · Analyze organizational data to identify trends, measure program outcomes, and provide projections that support strategic decision-making.
- · Develop reports and dashboards for leadership and program staff.
- Automation & Workflow Development
- · Build and maintain digital forms, workflows, and automations.
- · Develop efficient processes that reduce manual work and improve data accuracy.
- · Integrate platforms using APIs and automation tools.
- · Continuously improve existing workflows to increase organizational efficiency.
- Technology Support
- · Serve as the primary technical resource for staff.
- · Troubleshoot software, hardware, and platform issues.
- · Assist staff, board members, and users with technical challenges as needed.
- · Support technology used during organizational events and program operations.
- Program & Operational Support
- · Develop and maintain registration forms, scheduling systems, calendars, donation management systems, and other operational tools.
- · Design technology solutions that support new organizational initiatives.
- · Collaborate with leadership to translate operational ideas into scalable digital systems.
- · Ensure systems provide appropriate access while protecting confidential information.
- Data Security & Privacy
- · Maintain appropriate security standards across all organizational platforms.
- · Protect sensitive participant and organizational information.
- · Design systems that balance accessibility with privacy and security requirements.
- · Monitor permissions and data governance practices.
- Working Relationships
- The Data & Systems Manager works closely with:

- · Program participants when technical support is required
- Required Qualifications
- · Strong experience administering cloud-based business platforms.
- · Experience with database design and management.
- · Understanding of APIs, system integrations, and workflow automation.
- · Technical troubleshooting experience across multiple software platforms.
- · Excellent written communication and grammar.
- · Strong mathematical and analytical abilities.
- · Exceptional organizational and time management skills.
- · Ability to manage multiple projects simultaneously while maintaining attention to detail.
- · Ability to learn new software and technologies quickly.
- Preferred Technical Skills

- Work Environment
- This is a semi-remote position requiring routine team meetings in Castle Pines, Castle Rock or Sedalia, to support organizational operations and technology needs.
Candidates should be highly proficient with computers and comfortable working across multiple applications simultaneously. Success in this role requires efficient navigation between systems, effective multitasking, and the ability to solve complex technical problems quickly while maintaining a high degree of accuracy.

- Success is measured by the ability to create reliable systems that enable the organization to operate efficiently. The Data & Systems Manager anticipates challenges before they arise, develops scalable technological solutions, maintains secure and accurate data, and empowers staff through dependable systems that allow them to focus on serving the organization's mission.
- Compensation & Engagement
- This position is an independent contractor role with compensation of $55–$65 per hour, commensurate with the candidate’s skills, experience, and demonstrated ability to fulfill the responsibilities of the position. As an independent contractor, this position is not currently eligible for employee benefits, including health insurance, paid time off, retirement benefits, or other employee benefits. The position is expected to begin January 1, 2027.
Successful candidates must be available to participate in one-on-one training and transition sessions with the current role holder between now and January 1, 2027. This transition period is an essential requirement of the position and will provide the incoming contractor with hands-on familiarity with The Aspen Effect’s systems, processes, data, and workflows. Candidates should have sufficient availability and flexibility to complete this training before assuming full responsibility for the role on January 1, 2027.
