Data Specialist and Hubspot Manager

Position Summary

PracticeSuite is seeking a highly analytical and detail-oriented Data Specialist & HubSpot Manager to manage our HubSpot CRM environment while providing data-driven insights to support Sales, Marketing, and executive leadership.

This role will be responsible for maintaining the integrity and effectiveness of HubSpot, developing dashboards and reports, analyzing sales and marketing data, monitoring key performance indicators, and identifying trends and opportunities for improvement.

The ideal candidate combines strong data analysis skills with hands-on HubSpot expertise and is comfortable working with cross-functional teams to translate business requirements into actionable reports, processes, and CRM solutions.

Key Responsibilities

HubSpot Management

  • Serve as the primary administrator and subject-matter expert for HubSpot.
  • Manage HubSpot users, permissions, teams, pipelines, properties, workflows, dashboards, and reporting.
  • Maintain accurate and consistent CRM data across contacts, companies, deals, and other records.
  • Develop and maintain sales pipelines, lifecycle stages, lead statuses, and other CRM processes.
  • Build and optimize automated workflows, lead routing, notifications, and task assignments.
  • Monitor CRM data quality and identify duplicate, incomplete, or inaccurate records.
  • Establish and enforce CRM data standards and best practices.
  • Support Sales and Marketing teams with HubSpot-related questions, troubleshooting, and training.
  • Manage integrations between HubSpot and other business systems as required.
  • Identify opportunities to improve CRM automation and reduce manual processes.
  • Assist with HubSpot configuration, upgrades, and implementation of new functionality.

Data Analysis & Reporting

  • Collect, clean, organize, and analyze data from HubSpot and other business systems.
  • Create and maintain dashboards and reports for Sales, Marketing, Operations, and leadership.
  • Analyze sales funnel performance, lead generation, conversion rates, pipeline activity, and revenue trends.
  • Develop recurring and ad-hoc reports to support business decisions.
  • Track key performance indicators (KPIs) and identify trends, gaps, and opportunities.
  • Analyze campaign and marketing performance and provide recommendations for optimization.
  • Monitor sales representative activity, pipeline progression, lead follow-up, and conversion performance.
  • Identify data inconsistencies and work with relevant teams to resolve them.
  • Translate complex data into clear, actionable insights for non-technical stakeholders.
  • Support forecasting and business planning through accurate reporting and analysis.

Data Governance

  • Maintain high standards for CRM data accuracy, completeness, and consistency.
  • Establish procedures for data entry, validation, and ongoing maintenance.
  • Regularly audit HubSpot data and reporting structures.
  • Ensure appropriate access and permissions are maintained.
  • Document CRM processes, workflows, reporting definitions, and administrative procedures.

Required Qualifications

  • Bachelor's degree in Data Analytics, Business Analytics, Business Administration, Information Systems, Marketing, or a related field.
  • 5+ years of experience in data analytics, CRM administration, business intelligence, or a similar role.
  • Hands-on experience managing HubSpot CRM.
  • Strong knowledge of HubSpot reporting, dashboards, workflows, pipelines, properties, and CRM configuration.
  • Strong analytical and problem-solving skills.
  • Advanced Excel or Google Sheets skills, including pivot tables, lookups, data manipulation, and reporting.
  • Experience working with large datasets and identifying trends or anomalies.
  • Strong attention to detail and commitment to data accuracy.
  • Ability to communicate analytical findings clearly to business and executive stakeholders.
  • HubSpot certifications, particularly in HubSpot administration, reporting, Sales Hub, or Marketing Hub.
  • Experience with healthcare technology, SaaS, EHR, RCM, or healthcare services.
  • Experience with BI tools such as Power BI, Tableau, or Looker Studio.
  • Knowledge of SQL and relational databases.
  • Experience with CRM integrations and APIs.
  • Experience with Salesforce, Microsoft Dynamics, Zoho, or other CRM platforms.
  • Experience with marketing automation and lead-generation analytics.
  • Experience developing executive-level dashboards and KPI reporting.
