Data Operations Specialist
Reports To: Director of Data Operations
Position Summary
- We are seeking a detail-oriented and analytical Data Operations Specialist to support the accuracy, integrity, and strategic value of data within our Customer Relationship Management (CRM) platform. This role is responsible for maintaining high-quality constituent records, supporting data governance initiatives, optimizing workflows, and contributing to organization-wide data projects.
- The ideal candidate is highly organized, comfortable working with large datasets, and passionate about improving processes through data quality and automation. This position regularly handles sensitive and confidential information and requires strong judgment, professionalism, and collaboration skills.
Key Responsibilities
Data Management & Integrity
- Maintain and audit CRM records in accordance with established data governance standards.
- Research, verify, and update constituent demographic, biographic, and professional information.
- Ensure data accuracy, consistency, and completeness across multiple data sources.
- Protect confidential information by adhering to privacy, security, and compliance standards.
- Configure and maintain no-code automation tools to improve operational efficiency and data quality.
Project Management
- Partner with leadership to establish project scope, priorities, timelines, and resource requirements.
- Monitor project milestones and deliverables using project management tools and processes.
- Coordinate with stakeholders to gather requirements, provide project updates, and resolve issues.
- Support successful implementation of data and process improvement initiatives.
CRM Administration & Optimization
- Identify opportunities to improve CRM structure, processes, and data organization.
- Execute testing and validation activities related to CRM enhancements and system upgrades.
- Develop and refine automated workflows to reduce manual processes and improve efficiency.
- Document processes and recommend best practices for CRM usage and data management.
Strategic Data Initiatives
- Support enterprise data projects through data preparation, validation, documentation, and analysis.
- Collaborate with cross-functional teams to align data operations with business objectives.
- Assist in identifying trends, insights, and opportunities to improve data-driven decision making.
- Contribute to continuous improvement initiatives focused on data quality and operational effectiveness.
Stakeholder Support & Collaboration
- Provide responsive and professional support to internal and external stakeholders via email, phone, and other communication channels.
- Collaborate with team members to address complex data issues and support organizational priorities.
- Create and maintain process documentation, training materials, and knowledge resources.
- Participate in team planning, goal setting, and continuous improvement efforts.
Qualifications
Required
- Bachelor's degree or equivalent combination of education and experience.
- Experience working with CRM systems, databases, or data management platforms.
- Strong attention to detail and commitment to data accuracy.
- Excellent organizational, analytical, and problem-solving skills.
- Ability to manage multiple priorities and meet deadlines.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office applications, particularly Excel.
- Ability to handle sensitive and confidential information with discretion.
Preferred
- Experience with CRM platforms such as Salesforce, Blackbaud, Microsoft Dynamics, or similar systems.
- Experience with workflow automation and no-code tools.
- Familiarity with data governance, data quality, and database management best practices.
- Experience supporting cross-functional projects and stakeholders.
- Knowledge of project management methodologies and tools.
