- Representative Work Functions & Responsibilities
- The Special Project Coordinator - Data Analyst performs professional, technical, and analytical work to support the Department of Public Works in achieving data driven operational excellence. This role collects, interprets, and visualizes data from multiple Public Works business units; analyzes program performance; develops key performance indicators (KPIs); prepares statistical and narrative reports; and supports departmental compliance, accreditation, and strategic planning efforts. This position requires a high degree of independent judgment, analytical discernment, and critical thinking to evaluate complex datasets, interpret ambiguous operational issues, and recommend well supported solutions. The position helps provide leadership with actionable insights aligned with Public Works’ mission, Council identified priorities, APWA accreditation requirements, and departmental operations across Engineering, Facilities, Fleet, Operations, Real Estate, Parking, Waste Management, and the Business Center.
- Data Collection, Analysis & Reporting
- Collect, clean, structure, and analyze operational data from a wide variety of departmental and enterprise-wide systems, spreadsheets, databases, and tools to support data informed decision making.
- Monitor departmental KPIs, performance measures, and dashboards to illustrate performance, identify trends, and support continuous improvement.
- Prepare statistical, narrative, and visual reports used by departmental leadership, City leadership, and stakeholders for operational decisions and resource planning.
- Analyze data to assess program effectiveness, operational efficiency, service levels, and opportunities for improvement across Public Works.
- Operational & Organizational Support
- Coordinate with internal and external partners to gather data for recurring reports, special studies, and operational reviews.
- Conduct in-depth research and evaluation of datasets, processes, and systems; develop recommendations to enhance operations, reduce waste, and support internal process improvements.
- Assist with administrative data needs including organizational charts, staffing reports, vacancy tracking, or other operational metrics assigned.
- Exercise independent decision making in evaluating data limitations, identifying anomalies, and determining the most appropriate analytic- approaches to support operational and strategic needs.
- Accreditation, Compliance & Strategic Initiatives
- Support the maintenance of the Department’s American Public Works Association (APWA) accreditation in areas requiring data tracking.
- Assist strategic action plan reporting, performance plan updates, and citywide initiatives requiring Public Works data.
- Stakeholder Engagement & Communication
- Collaborate with internal and external partners to exchange information, validate data, and ensure reports reflect accurate operational realities.
- Present findings to leadership through clear, accessible data visualizations, presentations, or briefings.
- Demonstrate strong critical thinking skills when translating complex findings into clear, actionable insights for diverse audiences.
- Independent Work & Critical Thinking
- Work independently in a fast paced-, data rich- environment, applying sound judgment when analyzing incomplete or varied datasets.
- Strong critical thinking abilities to assess operational issues, distinguish meaningful trends from noise, and develop recommendations that support data driven decision making across Public Works divisions.
- Exercise discernment in selecting appropriate methodologies, validating data accuracy, and determining when issues require escalation or cross departmental- collaboration.
- Additional Duties
- Participate in special projects, process improvement efforts, audits, and studies initiated by Public Works leadership.
- May assist with training staff on data tracking methods, reporting expectations, or analytic tools.
