AI Data Innovations is seeking a Project Manager – Data Collection to support a major technology client’s enterprise data collection project in the Santa Clara Valley area. This role will manage participant recruitment, onsite coordination, scheduling, vendor communication, progress tracking, and project reporting to ensure smooth execution from kickoff through completion.

- Key Responsibilities
- Manage participant recruitment projects from kickoff through completion.
- Develop recruitment plans, timelines, tracking tools, and operational procedures.
- Recruit and screen participants based on project-specific demographic, language, location, and eligibility requirements.
- Manage participant scheduling, confirmations, reminders, cancellations, and replacements.
- Ensure participants complete consent forms and other required documentation.
- Communicate project instructions, location details, and participation requirements clearly to participants.
- Support onsite data collection operations and resolve participant-related issues.
- Track recruitment progress, attendance, completed sessions, demographic quotas, and participant payments.
- Maintain accurate participant and project records while protecting confidential and personal information.
- Identify recruitment risks and prepare backup plans to avoid project delays.
- Provide regular status reports to internal teams and clients.
- Required Qualifications
- Bachelor’s degree or equivalent practical experience.
- 2+ years of experience in project management, participant recruitment, research operations, staffing, or field operations.
- Experience managing recruitment schedules, participant databases, or onsite projects.
- Strong organizational, communication, and problem-solving skills.
- Ability to manage multiple tasks and work under tight deadlines.
- Strong attention to detail and ability to maintain accurate records.
- Proficiency in Microsoft Excel, Google Sheets, Microsoft Office, or similar tracking tools.
- Ability to communicate professionally with participants, vendors, clients, and internal stakeholders.
- Ability to work onsite in Cupertino and other Santa Clara Valley locations.
- Legally authorized to work in the United States.
- Preferred Qualifications
- Experience in AI data collection, user research, market research, usability testing, or clinical/research participant recruitment.
- Experience recruiting participants based on language or demographic requirements.
- Familiarity with informed consent, participant privacy, PII protection, and confidentiality requirements.
- Experience managing third-party recruitment vendors.
- Experience handling participant compensation and payment tracking.
- Bilingual or multilingual skills are a plus.
- Working Conditions
- This position requires regular onsite work in the Santa Clara Valley area. Working hours may occasionally vary based on participant schedules and active data collection needs. Local travel between collection locations may be required
- Contract & Pay Details
- This is a full-time role supporting a project-based enterprise client assignment
- Pay rate will be determined based on experience, engagement model, and project scope
- Primarily onsite work arrangement in Santa Clara Valley, CA, based on project needs
