- Job Title: Payroll Analyst
- Client Location: 1007 N Market St, Wilmington, DE 19801
- Duration: 06+ months with possibility of extension
- Work Structure: 3 days onsite | 2 days remote | In-office 3 Days per week (Mon, Tues, Thurs); remote 2 Days per week (Wed, Fri) through September (set date TBD). Will then transition to full remote.
Job Responsibilities:
- • Performs clerical and administrative activities specific to the human resources function. Maintains and processes confidential information, forms, and records.
- • Responds to payroll inquiries. Checks personnel-related documents for accuracy and completeness, maintains files and records of a confidential nature, and prepares periodic standardized reports.
- • Ensures payroll transactions comply with company policies and local laws.
- • Evaluates system and recommends operating efficiency improvements and updates payroll documentation as needed (SOPs).
- • Prepares reports illustrating payroll expenditures, including such items as net pay, tax payments, and other payroll disbursements.
- • Trains new team members on payroll systems and procedures.
- The responsibilities of the position include, but are not limited to, the following:
- • Administer the end-to-end payroll process, ensuring timely, accurate, and compliant payroll processing.
- • Ensure payroll compliance for exempt and non-exempt employee populations, including both union and non-union employees.
- • Manage garnishments, bonuses, severance payments, and related coordination, processing, tracking, and reporting.
- • Analyze payroll-related data to identify errors and system issues, research root causes, and implement effective resolutions.
- • Identify and lead payroll process improvement initiatives while establishing standards and best practices for new processes.
- • Oversee the maintenance and retention of payroll records in accordance with applicable laws and company policies.
- • Coordinate and oversee responses to external information and verification requests as appropriate.
- • Assist in developing and maintaining payroll procedures, guidelines, and internal controls while troubleshooting payroll-related issues.
- • Conduct periodic payroll audits and process reviews to ensure compliance with company policies, procedures, and applicable federal, state, and local regulations.
- • Partner with Finance, Compensation, Benefits, and other functional teams to provide payroll expertise and support payroll-related requests.
- • Assist the Payroll Manager with various internal and external audits, including SOX compliance and controls.
- • Review and validate Stock Options, Restricted Stock Units (RSUs), and Dividend Equivalent Units (DEUs) as required.
- • Participate in payroll system upgrades, enhancements, and user acceptance testing to ensure system functionality and accuracy.
- • Review payroll audit reports, investigate discrepancies, and ensure appropriate corrective actions are completed.
- • Support all payroll year-end activities, including reconciliations, reporting, and year-end compliance requirements.
- • Improve payroll efficiency by streamlining workflows, reducing manual entries, automating processes where possible, and continuously identifying opportunities for improvement.
- • Collaborate with external payroll providers, vendors, and internal stakeholders to coordinate payroll activities and implement process enhancements.
- • Participate in payroll-related projects and serve as a Subject Matter Expert (SME) to provide guidance and expertise.
- • Assist with the U.S. payroll tax process in collaboration with external payroll tax vendors.
- Manage garnishment activities in coordination with external vendors, including:
- • Uploading garnishment orders and related documentation to the vendor.
- • Monitoring, reviewing, and auditing garnishment processing completed by the vendor.
- • Processing garnishment refunds and adjustments.
- • Responding to garnishment-related inquiries from employees and vendors.
- • Processing lump-sum garnishments as required.
- • Completing employment and verification-of-earnings requests.
Qualifications:
- • 8+ years of experience processing end-to-end payroll and equity transactions
- • Hands-on expertise with Workday Payroll.
- • Strong knowledge of payroll accounting principles, SOX controls, and general ledger reconciliation.
- • In-depth understanding of federal and multi-state payroll tax compliance and wage and hour laws.
- • Proven year-end close experience including W-2 and W-2c processing in Workday and ADP Smart Compliance.
- • High proficiency in Microsoft Office 365 and G-Suite (Excel, Google Sheets)
- • Ability to work independently with general supervision, prioritize effectively, and meet tight deadlines.
- • Strong attention to detail, self-motivation, and ability to manage confidential material with discretion.
- • Excellent verbal and written communication skills with commitment to customer service and ownership
Additional Information:
- • No scheduled extended time off will be approved through March 2027 – there will be no one available to cover.
