PROPELLER OVERVIEW

  • Propeller: A Force for Social Innovation is a 501c3 nonprofit dedicated to supporting social innovation in
  • New Orleans. Our mission is to grow and support entrepreneurs to tackle social and environmental
  • disparities. We envision an inclusive and thriving entrepreneurial ecosystem in New Orleans that
  • responds to community needs and creates the conditions for an equitable future. Through our coworking
  • facility, programming, and services, we provide entrepreneurs with critical support in accessing capital,
  • scaling their businesses, and securing contracts that open doors to new opportunities.

PROJECT OVERVIEW

  • Propeller is adopting a new Customer Relationship Management (CRM) software in 2026 to strengthen
  • our data collection and impact storytelling initiatives. The contractor will provide critical support during
  • the transition from our current system to the new platform, while also supporting ongoing data collection
  • projects so evaluation work continues without interruption. A qualified contractor will be proficient in
  • data entry and consolidation, Excel, spreadsheets, Salesforce and Google Workspace, and with Asana and
  • monday.com.

SCOPE OF WORK

  • CRM Software Transition and Onboarding
  • An experienced data solutions expert will consolidate data from multiple sources and formats into
  • import-ready files for the new CRM. Source systems include Google Sheets, Google Forms,
  • FormAssembly (CSV exports), Salesforce and various CSV/Excel files. All files and/or file links will be
  • pulled into a single shared folder. Salesforce data will be exported separately and then combined with the
  • other source files.
  • Tasks include:
  • ● Data extraction from Salesforce
  • ● Field matching across data sources (in coordination with Propeller team)
  • ● Field mapping to new CRM (in coordination with Propeller team and CRM provider)
  • ● Data migration into new CRM
  • ● Data collection tools and database customization (in conjunction with the CRM provider
  • ● Data migration troubleshooting, as needed
  • ● Test environment creation
  • ● Support staff training on CRM tools and the database
  • ● Perform data quality control throughout migration/implementation process
  • ● Attend CRM implementation team meetings
  • ● Interface with software company, as needed
  • Required skills: CRM experience with Apricot Bonterra or similar software, monday.com or similar
  • project management software, Google Sheets, Excel, Salesforce DataLoader.

PROJECT TIMELINE AND DETAILS

  • ● Proposal Released: May 11, 2026
  • ● Proposals Due: June 22, 2026
  • ● Estimated Project Timeline: June 1, 2026 - November 30, 2026
  • ○ Kickoff Meeting: week of June 1, 2026

BUDGET

  • We anticipate that this project will not exceed $20,000. Please see the Budget Proposal under Proposal
  • Submission for submission information.
  • PROPOSAL SUBMISSION REQUIREMENTS
  • Response Deadline: June 14, 2026
  • Proposal Directions: Respond via our website presenting the following information:
  • ● Cover Letter: Briefly introduce your organization or expertise and interest in the project, cover
  • letters should be addressed to Melissa Tyler, Director of Advancement.
  • ● Data Strategy and Approach: Based on the Scope of Work outlined above contractors must
  • outline a comprehensive approach to data cleansing, validation, and migration. Proposals should
  • include methodologies, timelines, risk areas and any assumptions. Specify any hardware or
  • software required or recommended to execute the proposed strategy.
  • ● Confidentiality and Privacy: All contractors must adhere to strict confidentiality standards.
  • The selected contractor will be required to sign a Non-Disclosure Agreement (NDA) prior to
  • engagement and demonstrate the ability to safeguard sensitive client data throughout the project
  • lifecycle.
  • ● Quality Assurance: Proposals must include a defined quality assurance (QA) process. Describe
  • how data accuracy and integrity will be verified during and after migration. Contractors must
  • provide access to files for periodic QA checks, including random sampling of data points.
  • ● Data Security Protocols: Contractors must detail the security measures in place to protect
  • sensitive data, including network security, data storage, and access controls. Contractors are
  • prohibited from working on unsecured or public networks (e.g., coffee shops, libraries) while
  • handling project data.
  • ● Communication and Client Management: Proposals should demonstrate the contractor’s
  • customer service approach and communication practices, including responsiveness, project
  • updates, issue resolution, and experience working collaboratively with stakeholders.
  • ● Technical Proficiency: Contractors must self-assess and report their level of proficiency in the
  • following technologies using a scale of 1 (no experience) to 5 (highly proficient):

  • ○ AWS
  • ○ SQL/SOQL
  • ○ Salesforce

  • ● Budget Proposal: Provide a cost estimate for services, including an hourly rate and a high-level
  • estimate for project execution for the project outlined above.
  • ● Relevant Experience: Provide examples of similar work completed, preferably for
  • organizations supporting entrepreneurship or economic development.
  • ● Team & Qualifications: List key personnel involved and their relevant expertise.
  • ● Timeline & Work Plan: Suggested schedule for project milestones.
  • ● References: Provide three references for relevant and comparable projects. Include name,
  • company name (if applicable), email address, and phone number
