A rapidly growing international trading and financial markets firm with a strong presence across the US, UK, Middle East and Asia. The business operates in a fast-paced, technology-driven environment, with a lean team structure and a highly entrepreneurial culture.
The firm is expanding its US presence and is looking for someone who can work closely with senior leadership, combining high-level executive support, office coordination, analytical work and AI-driven process improvement.
- Key Responsibilities - Executive Support
- • Help manage the President's inbox and correspondence, triaging, drafting responses and flagging priorities
- • Organise the President's calendar, scheduling meetings across US, UK, Dubai and Singapore time zones and resolving conflicts
- • Arrange travel, itineraries, visas and expenses for the President and visiting senior staff
- • Prepare briefing notes, meeting agendas and presentation materials; capture actions and follow up on their completion
- • Act as a discreet and trusted point of contact between the President and other senior stakeholders.
- Key Responsibilities - Office Administration
- • Oversee the day-to-day running of the Americas office, including supplies, vendors, facilities issues and visitor management
- Key Responsibilities - Business Analysis & AI
- • Use AI tools (e.g. LLM assistants, automation platforms) to draft documents, summarise meetings and correspondence, and streamline recurring workflows
- • Analyse data from internal systems to answer ad hoc questions from the President and identify trends worth escalating
- • Support ad hoc projects and research (market intelligence, competitor scans, meeting preparation deep-dives)
Requirements
- • Experience in an executive assistant, business support, operations or analyst role, ideally within trading, financial services or another fast-paced environment
- • Demonstrated hands-on use of AI tools (e.g. ChatGPT, Claude, Copilot) for drafting, analysis or automation, and genuine enthusiasm for finding new applications
- • Strong analytical skills with advanced Excel; exposure to BI/reporting tools advantageous
- • Exceptional organisation, attention to detail and the discretion to handle confidential information
- • Excellent written and verbal communication, and the flexibility to switch between administrative and analytical work through the day
- • Comfortable working with significant autonomy in a lean office while coordinating closely with London HQ
