Daily Responsibilities:
- Your morning focuses on stakeholder alignment and intake management. You start by updating portfolio dashboards in Planview and Jira, then join a Resource Planning sync with the PMO team to discuss capacity forecasts and resource bottlenecks. When new business requests arrive, you conduct intake clarification meetings to understand scope, data requirements, resource needs, and business value—drafting preliminary recommendations for D&A leadership.
- Your afternoon balances financial oversight and governance preparation. You compile weekly portfolio status reports tracking project progress, spend-to-date against budget, and cost overruns requiring escalation. You also analyze vendor invoices and software licenses for savings opportunities. Finally, you prepare materials for PI Planning meetings, including capacity availability, prioritized backlogs, and resource constraints to discuss with leadership. Throughout the day, you act as a bridge between business leaders and technical teams, translating requirements into financial and operational implications while maintaining data accuracy across all portfolio management tools
- Portfolio Planning & Intake Triage
- Manage project intake and demand management processes for the Data & Analytics (D&A) portfolio.
- Evaluate project requests and support investment decision-making through clarification of the expected scope of data requirements, value analysis, and resource and capacity assessment.
- Provide recommendations to D&A leadership for portfolio adjustments based on changing business priorities and resource constraints.
- Support quarterly planning process including organization and facilitation of PI Planning meetings for department.
- Resource Planning & Capacity Management
- Manage resource planning and allocation across the department to optimize utilization and delivery outcomes.
- Partner with technology leaders and PMO team to forecast resource demand and identify capacity risks.
- Provide visibility into resource utilization and allocation across programs and initiatives.
- Financial Oversight & Business Management
- Support annual budget planning and forecasting processes for Data & Analytics.
- Track departmental operating and project expenditures against approved budgets.
- Monitor project costs, benefits realization, and investment performance.
- Identify opportunities to improve operational efficiency and optimize technology spending, including software licenses, vendor contracts, and recurring operational costs.
- Portfolio Reporting & Performance Management
- Maintain portfolio management tools and ensure data accuracy within Planview, Jira, Confluence, and other platforms and tools used to support project and program management.
- Review project and program status updates to ensure completeness, consistency, and accuracy.
- Develop and maintain consolidated portfolio dashboards, executive reports, and performance metrics.
- Develop and maintain regular reporting and insights for the Data & Analytics leadership team.
- Stakeholder Management & Cross-Functional Collaboration
- Build strong partnerships across D&A (leadership team, product owners, tech leads) and with business leaders, technology teams, and PMO stakeholders.
- Act as a trusted advisor to D&A leadership by providing planning, reporting, and operational insights.
- Facilitate communication across teams to ensure alignment on priorities, resource requirements, and strategic objectives.
- Support governance forums, leadership meetings, and investment review discussions.

- Planview, Jira, Tableau and Microsoft office (Excel, Word and PowerPoint)
Must-have Skills:
- Bachelor’s degree in Information Technology, Business Administration, Finance, Engineering, or a related field.
- 3-5 years of experience in portfolio management, PMO, technology planning, IT business management, financial management, or a related discipline.
- Experience supporting technology organizations and managing cross-functional stakeholder relationships.
- Experience with portfolio management and planning tools such as Planview, Jira, Asana, or similar platforms.
Nice-to-have Skills:
- MBA or equivalent in Information Technology, Economics, Business, Finance or related field;PMP and/or PgMP certification or Agile certifications (e.g., SAFe, Scrum Master).
- Previous experience working with data and analytics or technical teams - solid technology skills and expertise combined with a strong business acumen and a demonstrated ability to bridge understanding between the two.
- Experience and expertise with relevant software including Planview, JIRA, Confluence, MS Project, etc. Advanced proficiency in Excel, PowerPoint, and reporting and data visualization tools (Tableau, Visio, Mural, Lucid, etc.) .
- Experience and understanding of AI prompt development and use of AI agents to simplify and automate reporting and workflow activities.
Soft skills:
- Strong understanding of portfolio management, demand management, and resource planning practices. Demonstrated ability to effectively structure and organize a complex portfolio of activities.
- Knowledge of budgeting, forecasting, financial analysis, and business case development.
- Excellent communication, reporting, and executive presentation skills – demonstrated ability to create accessible and compelling content, construct impactful narratives, and bridge communication across business and technical audiences.
- Ability to effectively elicit and capture key requirements, identify strategic priorities, and clearly articulate key goals, objectives, and success criteria.
- Excellent organization and time management skills, with the ability to effectively balance multiple competing demands and priorities.
- Strong analytical and problem-solving capabilities.
- Ability to influence stakeholders and drive alignment across multiple teams
